BURNHAM BEECHES RADIO CLUB (the “club”)

PRIVACY POLICY

As you will be aware the Club retains personal data of members for various purposes including record keeping, club administration and furthering club activities.

WHAT DATA IS STORED

Typically this data will comprise the member’s name, address, telephone number and callsign and also photographs related to the club’s activities but may in addition comprise other information to do with the club and amateur radio such as the possession of club awards and other information relating to the hobby of amateur radio.

WHERE DATA IS STORED BY OR ON BEHALF OF THE CLUB

We hold or process personal information in four places: the club website, the club facebook page,  the club email reflector and the club membership records.

The club website may contain embedded content such as the club calendar hosted by Google and they may place cookies on your device and record additional data which may be personal, such as IP Addresses.  Your use of the website is conditional on your agreement to this.

Similarly the club facebook pages are hosted by facebook who also may place cookies and record IP addresses in addition to any personal data included within those pages.

The club email reflector is an opt-in peer-to-peer email service, not a mailing list. (Although club committee members may post updates on club matters from time to time.) Membership is via invitation which has to be accepted by you and every email sent via the system provides an unsubscribe link. Due to this subscription mechanism the BBRC do not store emails or a list of email addresses and user names, although we can process (ie add/remove/edit) the email addresses and names held by Google

PROTECTION OF DATA

It is the duty of the club to protect this information and to update it where necessary.

USAGE OF DATA

The main purposes for which the data is used is in the administration of the club and its activities, the notification to club members of club activities and organisation of such activities, the collection and acknowledgment of subscriptions and other purposes directly relating to the club’s normal amateur radio activities.

AMENDMENT OF DATA

You have the right to require your personal data to be amended when it is incorrect.

We will delete your personal data when it is no longer required for the said purposes, however, we will retain your data for a reasonable period after you cease to be a member for canvassing future subscriptions to the club.

DISCLOSURES OF DATA

The club will only share your data where reasonably required for club purposes eg. with the Radio Society of Great Britain (“RSGB”) for contests, examinations etc. and where necessary to any professional advisers of the club. The club will also share your data if so required by Ofcom or the Police or other statutory organisation with power to require such disclosure.

Please note that the club will not share your data  for any sales or marketing purposes unless the relevant member has consented specifically to the same.

ACCESSING YOUR DATA

You can access the data we hold on you by requesting the same to the Treasurer, Chairman or Secretary of the club. Data held on the club’s facebook page is held by facebook though, not the club.

WITHDRAWAL OF CONSENT TO HOLDING DATA

Please note that we need to hold your data in order to run the club efficiently. If you do not consent to us holding and using your data as set out in this privacy policy we will delete it but then your membership of the club will have to cease. Due to the modest annual subscription no refund of subscription will be given in the event of termination part way through a year.

Comments

If visitors leave comments on the site we will collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email. Visitor comments may be checked through an automated spam detection service.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information but aim not to do so.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
